What is an AI agent, and which tasks suit one?

A chatbot answers a question and waits. An agent completes a task across several steps, using tools and making decisions along the way: gathering information from multiple sources, filling in a system, producing a draft, checking its own output. More capable, and for exactly that reason needing much tighter guardrails.

Agents suit repetitive multi-step work with a clear definition of done. Research and summarise this list of leads. Extract these fields from these documents and file them. Assemble this weekly report from four systems. The common thread is that a competent person could do it with written instructions, and the instructions rarely change.

They do not suit work requiring judgement, relationships or accountability. If the task involves deciding what a customer is owed, or how to handle a complaint, or which supplier to trust, an agent should prepare the material and stop. The person still decides.

Control comes from three things: scoped permissions so the agent can only reach what it needs, approval gates before anything irreversible, and a complete activity log of every action taken. You choose which steps run unattended. Rollout is supervised — the agent runs alongside your existing process until its output has earned trust, rather than replacing it on day one.

Scoped permissions, approval steps before anything irreversible, and a full activity log of every action taken. You decide which steps run unattended and which wait for a human. Nothing touches production data without an explicit allowance.

About a week scoping the task and its guardrails, a week on architecture, then two to four weeks of build and testing. Rollout is supervised: it runs alongside your current process until its output is trustworthy, rather than replacing it on day one.

Fixed build fee after the task and guardrails are scoped, plus usage-based model costs. Agents consume more tokens than chatbots because they take multiple steps, so we estimate the per-run cost during scoping and cap it in the build.

The agent will not be given write access to systems without explicit approval gates, even if that slows it down. Tasks requiring accountability stay with people. We also will not remove the activity log, because an unauditable agent is not a safe one.
