When is custom software the right answer?

Custom software earns its cost when your process is the thing that makes you competitive, and no product on the market fits it. A school that runs a specific admission pipeline, a restaurant that gates the kitchen on payment, a manufacturer tracking installations across regions — these are all businesses where the workflow is the asset. Bending that workflow to fit a generic tool usually means paying twice: once for the licence, and again in the workarounds.

The honest counter-argument is that most businesses should buy rather than build. If an off-the-shelf product covers eighty per cent of what you need and the remaining twenty per cent is genuinely optional, buy it. We will tell you that on the first call. Custom becomes the better choice when that last twenty per cent is where your margin lives, or when per-seat licensing across a growing team costs more than owning the system outright.

Our builds follow the same shape: one to two weeks understanding the actual workflow, including the undocumented steps people do from memory; two weeks on architecture and interface design; four to eight weeks of build in sprints with weekly demos; then a week of launch, documentation and training. Multi-tenancy, role-based access and audit logging go into the first architecture where they are clearly coming, because retrofitting them later is a rewrite.
